Some GPS fleet tracking companies use fuel card data to generate reports for customers on all fuel card transactions.

Fuel card reporting uses fuel card and location data to deliver information in a number of ways so that it is actually useful for fleet managers. Fuel card reporting also identifies non-fuel purchases made.

Most major fuel card companies participate in fuel card integration with GPS fleet tracking software.

Fuel Transaction Report – A fuel transactions report provides details about each fuel transaction such as which vehicle/driver, fueling location, date/time, gallons pumped, and more.

This report is especially valuable if it shows fuel capacity vs. fuel pumped, to help identify fuel fraud. In many cases, where pumped exceeds capacity, an employee is filling up his/her own car.

It is also valuable if it shows the location of the vehicle at the time of fueling vs. the location the fueling took place. This is important because it lets you know if the fuel card is no longer with the vehicle because it was stolen or is being used for personal fuel.

The report can flag non-fuel purchases as well. From time to time, the card might be used to purchase drinks and snacks at the gas station.

Fuel Usage Report – A fuel usage report provides summarized fuel efficiency and fuel consumption information.

This report displays the number of gallons filled, the cost to fill the tank, cost per gallon, distance traveled between fill-ups, miles per gallon, and even cost per mile. A fuel usage report can really help management break down fuel costs with this granular cost data.

State Mileage Report – The state mileage report provides vehicle mileage and fuel transactions organized by state.

A state mileage report is for IFTA reporting. It will show detailed information such as odometer readings, first in/last out, vehicle origin/destination, number of gallons purchased in each state and cost per driver/state.
