Plan, execute and measure. Phil and Walt broke FieldAware into those categories because they synthesize most current processes that companies are running.

1. Plan

You need to plan properly to overcome the challenges you face. When that initial customer contact comes in—whether it’s via phone, email, or text—how do you schedule that job? Is it a planned job or an emergency or priority job? What technicians are available? Is there a specific skill set required from the technician to complete that job?

Effectively managing your field operations requires focus and filters of the timespan and the specific categories of jobs coming in. FieldAware allows you to set them and we can see what work is waiting, what work is active, and what work needs to be scheduled to a field engineer.

Scheduling the actual jobs is drag and drop easy from the list of assigned jobs of unassigned jobs. Smart Scheduler employs machine learning to rapidly optimize your field work. From the unassigned list of jobs, you can choose one or all and engage the Smart Scheduler, accommodating for the start and endpoints of technicians skill sets required lunch breaks, optimizing jobs across your field staff. Those scheduled jobs are put into the schedule in planning mode, enabling additional manual changes as desired.

2. Execute

Once you have that information, and you’ve scheduled that call, how do you execute that? And how do you get that information out to your technicians in the field? How do they know what tasks are required to complete that job? And then ultimately, how are your field technicians communicating back to the office that that job is complete?

FieldAware provides a live map field to provide a real time view of the actual location of your field staff based upon their mobile devices. Technicians driving to a location are shown moving on the live map. The FieldAware mobile app is a user-friendly tool that breaks the bottleneck of information between the office and the field. The jobs list shows intended schedules of the many jobs that are dispatched, displaying the summary information and the location of the job.

The job history for the customer location is also available along with completed tasks and photos checklists. Knowing the history can dramatically impact the first time fix ratios for service technicians. Technicians do an excellent job, but FieldAware takes the guessing out of it and allows them to document what was done.

3. Measure

And then finally, how do you measure success? How do you measure success from a reporting standpoint? How do you measure success from a customer experience standpoint? Is that through signature capture out in the field? Is that a job completion process where you have pictures for each job? How does the FSM reporting help identify trends? For example, are you reporting on a weekly or monthly basis to understand if you have reduced the number of open jobs as compared to last month—or if you were able to add more net new jobs as opposed to warranty work, because those jobs cost the company revenue?

Documentation is the key to avoiding disputed service invoices. Once the work is done, the most important task is left. The technician can review with the client the service that was performed and capture customer signatures. This also supports the rapid collection of invoice service.
